Limay Polytechnic College President Dr. Elmer De Leon convened an executive briefing session with the Academic Council and Awards Committee on May 12 to discuss the protocols and procedures for the upcoming deliberation for graduation.
βWe should have an accurate, error-free, credible, and reliable list of candidates for graduation and awardees, which shall be decided upon based on merit, justified standards, and valid references,β Dr. De Leon reminded the members of the Committee.
During the meeting, Dr. De Leon reviewed with the Committee the institutional standards, policies, and rules governing graduation and the conferment of awards. He emphasized the importance of thorough validation and verification of records to ensure the integrity of the deliberation process.
The College Registrar was instructed to conduct a comprehensive review and double-checking of graduating studentsβ academic records and grades from their first year to third year.
Likewise, department heads were tasked to verify internship performance grades, special topics courses, course audits, and other subjects currently being completed by graduating students.
For the determination of academic awardees and recipients of special citations, the College Registrar, in coordination with the department heads, shall jointly evaluate and identify qualified students based on established rules and standards.
Meanwhile, Ms. Jesica Marata of the Office of Student Affairs and Development Services (OSADS) was designated to oversee co-curricular and special awards, while Mr. Joemark Ablian was assigned to supervise research and extension awards. Department heads, on the other hand, will handle the evaluation of internship awardees.
The Committee was also reminded that all endorsement papers must be supported with complete documentary evidence and pertinent attachments. These include computed grades with counter-validation signatures, advisersβ endorsements for co-curricular awards, research certifications for research distinctions, and certifications from company representatives for internship citations.
Moreover, awards governed by rubrics and evaluation criteria must be accompanied by official results of evaluation and computations based on stipulated standards and institutional guidelines.
With the implementation of these measures, the College expects a smooth and efficient deliberation process, leading to the approval of resolutions covering graduation candidates and award recipients. The approved final lists shall thereafter be endorsed to the Board of Trustees for confirmation and approval during the Commencement Exercises, which also serves as a formal Board Session in accordance with institutional practice.
The members of the Awards Committee and the Academic Council expressed their commitment to ensuring reliable, transparent, and error-free deliberations anchored on fairness, credibility, and academic excellence. #
